Guide · Updated: October 2026Best quotation, booking & job tracking systems for Malaysian SMEs (2027)

If you have one or two people sending quotes or taking bookings, start with Google Sheets or a free ready-made tool such as Zoho Invoice, Bukku's free plan or SimplyBook.me. Consider a custom system only when your pricing, approvals or job steps don't fit any of them, and your team keeps going back to Excel and WhatsApp.

Disclosure: I build custom systems at Miracle Mikhael Studio, so I have a stake in this. I've tried to be fair, and this guide says plainly when another option is the better pick. For most small teams, it is.

What to look for

  • Fits your real process. Write down how a quote, booking or job moves today: who creates it, who approves it, and what the customer receives. Then check whether the tool can follow that.
  • Malaysian basics. Pricing in RM, SST on documents, and LHDN e-Invoice support if you also invoice from the same tool.
  • WhatsApp-friendly. Most Malaysian customers reply faster on WhatsApp than email. Can you share a quote or booking link there?
  • Price as you grow. Look at the per-user or per-provider price, not only the first plan. Five staff on a per-user plan costs five times as much.
  • Your data can leave. Make sure you can export customers, quotes and jobs to Excel/CSV.
  • Your staff will actually use it. Try it with the busiest person on your team for a week before deciding.

The options compared

Seven realistic options for a Malaysian SME, including the free ones. Prices are as shown on each vendor's own website in October 2026. Many exclude tax, and some change with promotions.

Features and prices change. Check each vendor's official pricing page before you buy. I didn't include any vendor whose price I couldn't confirm on its own website.

Pick this if…

Excel / Google Sheets: pick this if you send fewer than about 20 quotes a month, one person owns the file, and you mainly need a clean template. Add a shared Google Sheet for bookings, and you've covered the basics at no cost.

Zoho Invoice: pick this if you want proper quote and invoice documents, payment reminders and a customer portal without paying anything, and your quotes are standard (items, quantity, discount, tax).

Bukku: pick this if LHDN e-Invoice and accounting matter most, you want RM pricing, and quotes are a small part of your work.

SimplyBook.me: pick this if customers book time slots with you (clinic, salon, tuition, consultation) and you want a booking page today.

Trello: pick this if your problem is "who is doing what, and is it done?" within your own team, and customers don't need to see progress.

Jobber: pick this if you run a field service team and want quotes, scheduling and invoicing in one ready-made tool, and you're fine with USD pricing per user.

Custom system: pick this if your price comes from your own formula (size, material, distance, customer tier), a quote needs approval steps, or the quote, order, booking and job are retyped across three places. It also makes sense if customers keep calling to ask "dah siap ke?" and you want to give them a progress link.

When ready-made is enough (honestly)

  • Your quotes follow a normal format and one or two people make them.
  • You aren't yet sure what your process should be. A free tool will teach you what you actually need.
  • You don't have the budget for an upfront cost right now.
  • Your real problem is that no enquiries come in. In that case, fix your website first. A business website starts from RM1,500.

In these cases I'll tell you to use a ready-made tool, even if you came to me asking for a custom one. Starting with SaaS and moving to custom later is often the smartest order, because by then you know exactly which limits hurt. For a longer side-by-side comparison, read custom system vs ready-made software (in BM).

Where a custom system fits

Miracle Mikhael Studio builds quotation and order portals (a quote in about 2 minutes), booking with WhatsApp reminders, and job trackers with a progress link for customers. It's a fit when the steps connect: an approved quote becomes a job, and the job sends the customer a link. Systems start from RM5,000 with a fixed quote before work starts, and usually take 3–8 weeks. You keep your domain, content and data.

Not sure which one fits?

Tell me how quotes, bookings or jobs work in your business. I'll send a free 1-page plan, even if the answer is "use Google Sheets for now".

FAQ

What is the best quotation system for a small Malaysian business?

For most small teams, a free tool is enough to start. Zoho Invoice includes quotes at no cost, and a good Google Sheets template works for low volume. Move to something bigger only when quotes need your own pricing formula or approvals.

Is there a free booking system I can use in Malaysia?

Yes. SimplyBook.me has a free plan with 50 bookings and 1 provider. A shared Google Sheet or Google Calendar also works for very small volumes.

Do I need LHDN e-Invoice support in my quotation tool?

Quotes are not invoices, but if you plan to invoice from the same tool, choose one that supports LHDN e-Invoice, such as Bukku, or connect it to your accounting software. Check with your accountant for your own situation.

Can I track jobs with Trello or Google Sheets?

Yes, for a small team that only tracks work internally. Trello is free for up to 10 collaborators. It gets harder when customers need to see progress, or when jobs must link back to quotes.

How much does a custom quotation or booking system cost?

At Miracle Mikhael Studio, a quotation, booking or tracking system starts from RM5,000, with a fixed quote before work starts. The care plan (hosting, backups, security updates and small changes) is RM150/month.

When should I switch from Excel to a proper system?

Switch when wrong prices, double bookings or "which version is latest?" problems happen every week, or when copying data between Excel and WhatsApp takes hours of staff time. Try a ready-made tool first. Go custom if that still doesn't fit.

How this guide was made

I picked widely available tools that cover quoting, booking and job tracking, plus spreadsheets and a custom build. Every competitor name, feature and price comes from the vendor's own website, checked in October 2026. I didn't use ratings, reviews or user counts. Vendors whose price I couldn't confirm were left out. No vendor paid to be included. This guide will be reviewed again for 2027.
